DermEstimator provides cost estimation tools for informational purposes only. Estimates do not guarantee actual patient payment amounts and should not be relied upon as financial, legal, or medical advice.
These Terms of Service ("Terms") constitute a legally binding agreement between you (or the practice you represent) and DermEstimator, LLC ("DermEstimator," "we," "us," or "our") governing your access to and use of the DermEstimator platform.
By creating an account, clicking "I agree," or otherwise accessing or using our services, you confirm that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. If you do not agree, you may not use the service.
If you are using DermEstimator on behalf of a medical practice or organization, you represent that you have the authority to bind that organization to these Terms.
DermEstimator is a web-based cost estimation platform designed for dermatology practices. It enables front desk and administrative staff to generate patient cost estimates based on CPT codes, payer contracted rates, and the 2026 Medicare Physician Fee Schedule.
Informational purposes only. All estimates produced by DermEstimator are approximations for informational purposes. They do not constitute a guarantee of the actual amounts that will be owed by a patient or paid by an insurance carrier. Final billing amounts are subject to claim adjudication, plan benefits, eligibility verification, and other factors outside DermEstimator's control.
We reserve the right to modify, suspend, or discontinue any part of the service at any time with reasonable notice.
Registration. You must provide accurate and complete information when creating an account. You are responsible for maintaining the confidentiality of your login credentials.
Per-seat licensing. Each user account is licensed to one individual. Sharing login credentials between multiple people is prohibited. Only one active session is permitted per account at a time.
Practice administrators are responsible for managing user accounts within their practice, including promptly deactivating accounts for staff who leave the practice.
Account security. You must notify us immediately at dermestimator@gmail.com if you suspect unauthorized access to your account. We are not liable for losses resulting from unauthorized use of your credentials.
Pricing. DermEstimator is billed at $49 per user per month. Pricing is subject to change with 30 days' notice to active subscribers.
Free trial. New accounts receive a 7-day free trial with full access to all features. No payment is required to start a trial. After the trial period, your subscription will automatically begin at the applicable rate.
Payment processing. Payments are processed by PayPal. By subscribing, you agree to PayPal's terms of service. DermEstimator does not store your payment information.
Cancellation. You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period. We do not offer prorated refunds for partial months, except as required by applicable law.
Failed payments. If a payment fails, we will notify you by email. Access to the service may be suspended until payment is resolved. Accounts with outstanding balances for more than 14 days may be terminated.

DermEstimator is designed to minimize exposure to Protected Health Information (PHI). The platform does not require entry of patient names, insurance ID numbers, dates of birth, or other individually identifiable health information to generate estimates.
Your responsibility. Your practice is solely responsible for ensuring that your use of DermEstimator complies with HIPAA and all other applicable healthcare privacy laws. If your practice enters PHI into the platform in saved estimates or other fields, you are responsible for that decision and its compliance implications.
BAA. Practices that require a Business Associate Agreement may request one by emailing dermestimator@gmail.com. A BAA does not alter the fact that DermEstimator is not a covered entity and is not a billing or claims submission service.
DermEstimator and all content, features, and functionality of the platform — including the software, fee schedule integrations, UI design, and documentation — are the exclusive property of DermEstimator, LLC and are protected by applicable intellectual property laws.
Your data. Practice configuration data you enter (contracted rates, custom fee schedules, saved estimates) belongs to you. You grant us a limited license to store and process that data solely to provide the service.
Feedback. If you submit feedback or suggestions about the service, you grant us the right to use that feedback without restriction or compensation.
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT.
WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR COMPLETELY SECURE. COST ESTIMATES GENERATED BY DERMESTIMATOR ARE APPROXIMATIONS AND DO NOT GUARANTEE ACTUAL INSURANCE PAYMENTS OR PATIENT OBLIGATIONS.
DermEstimator is not a substitute for professional billing, coding, or legal advice. Consult a qualified medical billing professional for coding and compliance guidance.
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, DERMESTIMATOR, LLC AND ITS OFFICERS, DIRECTORS, EMPLOYEES, AND AGENTS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES ARISING OUT OF OR RELATED TO YOUR USE OF THE SERVICE.
OUR TOTAL CUMULATIVE LIABILITY TO YOU FOR ANY CLAIMS ARISING FROM OR RELATED TO THESE TERMS OR THE SERVICE SHALL NOT EXCEED THE GREATER OF (A) THE TOTAL FEES PAID BY YOU IN THE THREE MONTHS PRECEDING THE CLAIM, OR (B) ONE HUNDRED DOLLARS ($100).
Some jurisdictions do not allow limitations on liability, so the above may not apply to you in full.
You agree to indemnify, defend, and hold harmless DermEstimator, LLC and its officers, directors, employees, and agents from any claims, losses, damages, liabilities, and expenses (including reasonable attorneys' fees) arising out of or related to: (a) your use of the service; (b) your violation of these Terms; (c) your violation of any applicable law or regulation; or (d) any PHI or other data you enter into the platform.
You may cancel your account at any time through your account settings or by contacting us at dermestimator@gmail.com.
We may suspend or terminate your account immediately and without notice if we determine, in our sole discretion, that you have violated these Terms, engaged in fraudulent activity, or pose a risk to other users or the platform.
Upon termination, your right to use the service ceases immediately. We will retain your data for up to 90 days after termination, after which it will be deleted in accordance with our Privacy Policy.
These Terms shall be governed by and construed in accordance with the laws of the State of Florida, without regard to its conflict of law provisions. Any disputes arising from these Terms or the service shall be subject to the exclusive jurisdiction of the state and federal courts located in Florida.
We may update these Terms from time to time. When we make material changes, we will notify account holders by email at least 14 days before the changes take effect. Continued use of the service after that date constitutes acceptance of the updated Terms.
